PHOENIX SMP — TERMS & CONDITIONS

1. Introduction
These Terms & Conditions govern all bookings, consultations, and treatments provided by Phoenix SMP, operating from Clinic Visjeune, 759 Wimborne Rd, Moordown, Bournemouth BH9 2BA. By booking a consultation or treatment with us, you agree to be bound by these terms.
Please read these terms carefully alongside our **Privacy Policy** and **Consent Forms**, which together form the full agreement between you and Phoenix SMP.
2. Consultations
- All initial consultations are provided **free of charge**, either in person at our clinic or via video call
- Consultations do not constitute a guarantee of treatment suitability — final suitability is confirmed following full medical history disclosure and, where required, patch testing
- Phoenix SMP reserves the right to decline treatment following consultation if we reasonably believe treatment is not suitable, safe, or appropriate for you
3. Bookings & Deposits
- A **non-refundable booking deposit of £50** is required to secure your treatment plan following consultation
- This deposit is **deducted from the final cost** of your last treatment session
- Bookings are only confirmed once the deposit has been received
- Full pricing will be confirmed in writing (via email or booking confirmation) following your consultation, based on your individual treatment plan
4. Patch Testing
- A patch test is **mandatory** before any scalp micropigmentation treatment and must be completed at least **24 hours** before your first session
- Treatment cannot proceed without a satisfactory patch test result or you signing a waiver to confirm you would like to refuse the patch test.
- If you fail to attend your scheduled patch test, your first treatment session may need to be rescheduled, and this may be treated as a late cancellation under Section 5 below
5. Cancellations & Rescheduling
We understand that circumstances change, and we aim to be fair and reasonable while also protecting the time we've reserved exclusively for you.

- We recognise that genuine emergencies occur — please contact us as soon as possible, and we will always consider individual circumstances reasonably and compassionately
- Phoenix SMP will provide a minimum of **48 hours' notice** if we need to reschedule your appointment for any reason, except in cases of genuine emergency, and will offer the next available suitable appointment at no additional cost to you
6. Payment
- Full payment for each session is due **on the day of treatment**.
- We accept card and bank transfer.
- Prices are subject to change, but any agreed treatment plan price will be honoured for the duration of your specific package, even if general pricing increases during your treatment journey
7. Treatment Outcomes & Realistic Expectations
- Scalp micropigmentation is a cosmetic tattooing technique, and while every effort is made to achieve a natural-looking, satisfactory result, **outcomes are inherently subjective** and cannot be guaranteed to match reference images or expectations exactly
- Multiple sessions are typically required to achieve full results — your treatment is not considered complete until all planned sessions have been carried out
- Full healing typically takes **10–14 days per session**; final colour and appearance may not be fully visible until healing is complete
- Pigment may soften or shift subtly in appearance over time (typically several years), which is normal and expected — this is why annual touch-up sessions are recommended
- Individual results vary based on skin type, healing response, lifestyle factors (e.g., sun exposure), and adherence to aftercare instructions
8. Aftercare Responsibility
- You will be provided with full aftercare instructions, both verbally and in writing, following every session
- **Following aftercare instructions is essential** to achieving optimal results and minimising risk of complications
- Phoenix SMP cannot be held responsible for outcomes affected by failure to follow aftercare guidance, non-disclosure of relevant medical information, or engaging in activities against advice (e.g., sun exposure, swimming, or picking/scratching the treated area during healing)
9. Medical Disclosure
- You are required to disclose full and accurate medical history before treatment via our Medical History & Suitability Form
- Failure to disclose relevant medical information may affect the safety and outcome of your treatment and may void any liability on the part of Phoenix SMP for resulting complications
- Certain medical conditions may require written GP sign-off before treatment can proceed, at Phoenix SMP's discretion
10. Complaints & Corrective Work
- If you have any concerns about your treatment or results, please contact us as soon as possible so we can discuss this with you directly
- We aim to respond to all complaints within **2 working days**
- Where reasonably appropriate, we may offer a complimentary review consultation or corrective session; this will be assessed on a case-by-case basis and does not constitute an automatic entitlement
- This does not affect your statutory rights under UK consumer protection law
11. Photography, Video & Marketing Consent
- Photographs may be taken during your treatment for **clinical record-keeping purposes**, regardless of your marketing consent preference, as this supports safe and effective treatment planning
- Use of any photography/video for marketing, social media, or promotional purposes is governed entirely by your selected preference on our **Photo, Video & Testimonial Consent** form, and will never exceed what you have explicitly agreed to
- You may withdraw or amend this consent at any time by contacting us directly
12. Right to Refuse or Discontinue Treatment
Phoenix SMP reserves the right to refuse, postpone, or discontinue treatment at any stage if:
- We reasonably believe continuing treatment poses a health or safety risk
- Relevant medical information was not disclosed accurately
- A client's behaviour is abusive, threatening, or otherwise inappropriate toward the practitioner or clinic staff
- A client attends under the influence of alcohol or drugs
In such cases, any refund of fees paid will be at Phoenix SMP's reasonable discretion, taking into account work already completed and costs incurred.
13. Limitation of Liability
- Phoenix SMP carries appropriate public liability and treatment/malpractice insurance
- Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited under UK law
- Subject to the above, Phoenix SMP's liability in connection with any treatment shall not exceed the total amount paid by you for that specific treatment package
14. Age Restriction
Phoenix SMP only provides treatment to clients aged **18 or over**. Proof of age may be requested.
15. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
16. Changes to These Terms
Phoenix SMP may update these Terms & Conditions from time to time. The version in effect at the time of your booking deposit payment will apply to your treatment. Continued use of our services following any changes constitutes acceptance of the updated terms.
